Tayseer Seminary is seeking an organized, dependable Administrative Coordinator to manage the daily operations that keep the Seminary running smoothly — supporting faculty, students, finances, events, and facilities. Reports directly to the President of the Board of Directors, Shaykh Hassan Lachheb.
Faculty Support
- Manage faculty calendars, scheduling (daily, semester, and annual), and appointment reminders; anticipate faculty needs
- Serve as the primary liaison linking faculty, students, and the community, ensuring clear and professional communication
- Respond promptly to faculty requests; manage the email account for faculty as requested
- Coordinate and schedule speaking engagements for Tayseer faculty
- Attend suluk class as part of ongoing engagement with the Seminary community
Student Administration
- Manage student electronic correspondence and records
- Coordinate and lead student orientation
- Maintain an accurate, up-to-date student absence log
Finance & Tuition Coordination
- Coordinate with the finance department on day-to-day financial matters, including assisting with budgets and financial reports
- Manage tuition collection — tracking payments, following up on balances, and keeping accurate records
- Prepare tax donation receipts for donors and make bank deposits as needed
Office Management
- Handle all correspondence for appropriate email accounts, seminary mailing/shipping and phone or answering service
- Maintain and order inventory of books, office, and cleaning supplies; troubleshoot office equipment
- Greet visitors and answer the door during instructional hours
Event Planning
- Plan and coordinate Seminary events, including Student Orientation, Open House, Potluck Iftars, Special Dinners, Weekend Seminars, Ribāṭ Retreats, Umrah, and Commencement
Facility Maintenance
- Coordinate internal and external building inspections, pest-control treatment, and rotations with the professional cleaning company
- Coordinate with Tayseer's business office on repairs and maintenance; be onsite to greet repairmen and vendors
Qualifications
- 1–2+ years of experience in an administrative, office management, or coordinator role
- Demonstrated ability to manage multiple priorities, calendars, and deadlines independently
- Experience handling basic financial tasks (invoicing, tracking payments, deposits, or recordkeeping) is a strong plus
- Comfort with everyday office technology — email management, scheduling tools, and standard office software
- Bachelor's degree preferred; equivalent professional experience will be considered in place of a degree
- Nice to have: experience in a nonprofit, religious, or educational institution; basic web or graphic design skills
